The Office of the Chancellor welcomes engagement from the campus community. The information below outlines the processes for scheduling meetings, submitting requests, and connecting with the Chancellor.
Scheduling a Meeting
To schedule a meeting with the Chancellor, send an email to the Executive Assistant (sydney.seegersFREEuafs) in the Office of the Chancellor and copy the Chief of Staff (jennifer.kingFREEuafs). The email should include the requested date(s), time(s), location, list of attendees, short description of the purpose for the meeting, and any other relevant information. It is important to give as much notice as possible when scheduling. A minimum of two weeks’ notice is requested for scheduling meetings when possible.
Chain of Command
While the Chancellor has an open-door policy, it is not the Chancellor’s role to be a mediator in conflicts between employees and supervisors. It is strongly encouraged that the meeting requestor inform their direct supervisor or advisor before requesting a meeting with the Chancellor. Depending on the circumstance of the meeting, direct supervisors may be included in the meeting invite to ensure transparency and a quick resolution. When scheduling a meeting with the Chancellor, it is important to provide as much information as possible to the Executive Assistant and the Chief of Staff. This information will be held as confidential as possible but additional information may need to be gathered in advance to prepare the Chancellor for the meeting. Also, upon learning more about the meeting, the meeting requestor may be redirected to a content expert for a meeting or a faster resolution.
Standing Meetings
The Chancellor has standing meetings with direct reports and leadership from the three major shared governance organizations on campus (Faculty Senate, Staff Senate, and the Student Government Association). These meetings are held on a weekly, bi-weekly, or monthly basis. There may be times when other content experts are invited to these meetings as needed or required.
Speaking/Attendance Requests
When requesting that the Chancellor attend or speak at an event you are hosting, please complete and submit the online form at https://uafs.edu/about/chancellor/chancellor-attendance.php a minimum of two weeks before the event. Submission of the form does not guarantee the Chancellor’s attendance. A confirmation email will be sent from the Office of the Chancellor once the request has been reviewed and approved. Video Requests
When requesting that the Chancellor record a video message for an event, please complete and submit the online form at https://uafs.edu/about/chancellor/chancellor-video.php a minimum of two weeks before the event. Submission of the form does not guarantee the Chancellor’s participation. A confirmation email will be sent from the Office of the Chancellor once the request has been reviewed and approved. Drop-In Requests
While scheduling meetings with the Chancellor through the above process is strongly encouraged, drop-in requests for meetings with the Chancellor are taken on a case-by-case basis depending on availability. Decisions on these requests are made by the Executive Assistant with guidance from the Chief of Staff. If a drop-in request cannot be fulfilled, a meeting can be scheduled for a later date using the above process.
